Job Description
We are seeking a highly organized and proactive Administrative Assistant to join our team in Dubai. Key Responsibilities
- Office Management: Maintain a well-organized and efficient office environment, including managing supplies, equipment, and vendor relationships.
- Correspondence: Draft, format, and proofread professional documents, emails, reports, and presentations.
- Scheduling: Manage calendars, schedule appointments, and coordinate meetings and travel arrangements for management.
- Record Keeping: Maintain and update physical and digital filing systems, ensuring easy retrieval of documents.
- Data Entry: Accurately input and update data in company databases and spreadsheets.
- Meeting Support: Prepare meeting agendas, take minutes, and distribute them to relevant parties.
- Communication: Act as a point of contact for internal and external stakeholders, handling inquiries professionally and promptly.
- Travel Coordination: Arrange flights, visas, accommodation, and itineraries for business travel.
- Expense Tracking: Assist with monitoring office expenses and preparing basic financial reports or reimbursement requests.
- Compliance: Ensure all administrative tasks comply with company policies and UAE regulations (e.g., document attestation, visa processing support).
Qualifications and Requirements
- Education: Bachelor’s degree in Business Administration, Management, or a related field is preferred. A diploma with relevant experience will be considered.
- Experience: Minimum 2-4 years of experience in an administrative or secretarial role, preferably in the UAE.
- Language: Excellent verbal and written communication skills in English. Fluency in Arabic is a significant advantage.
- Technical Skills: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Familiarity with ERP systems or document management software is a plus.
- Organizational Skills: Strong time management and multitasking abilities with the capacity to prioritize tasks effectively.
- Problem-Solving: Ability to anticipate issues and find practical solutions independently.
- Confidentiality: Must handle sensitive information with discretion and integrity.
- Visa Status: Candidates must have their own valid residency visa in Dubai or be willing to relocate with company sponsorship.
