Job Description

We are seeking a professional, well-presented, and courteous Office Receptionist to join a dynamic team in Dubai. As the first point of contact for our clients and visitors, you will play a vital role in creating a positive and lasting first impression. The ideal candidate will possess excellent communication skills, strong organizational abilities, and the capacity to handle multiple tasks in a fast-paced corporate environment.

Key Responsibilities

  • Front Desk Management: Greet and welcome guests, clients, and visitors professionally upon arrival.
  • Telephone Handling: Answer, screen, and forward incoming phone calls in a polite and timely manner.
  • Administrative Support: Provide general administrative and clerical support, including photocopying, scanning, filing, and data entry.
  • Meeting Coordination: Manage meeting room bookings, set up conference rooms for meetings, and ensure they are equipped and presentable.
  • Mail Management: Receive, sort, and distribute daily mail, packages, and courier deliveries.
  • Visitor Log: Maintain a professional visitor log and issue visitor badges as per company security protocols.
  • Office Supplies: Monitor and maintain inventory of office supplies and place orders when necessary.
  • Correspondence: Prepare and draft professional emails, letters, and memos as requested.
  • Hospitality: Serve refreshments to guests and maintain a tidy and organized reception area at all times.

Qualifications and Requirements

  • Education: High school diploma or equivalent required; Associate’s degree or certification in Office Administration is a plus.
  • Experience: Minimum 1-2 years of experience as a receptionist or in a front office role, preferably in the UAE.
  • Appearance: Professional grooming and a presentable appearance are essential.
  • Communication: Excellent verbal and written communication skills in English. Fluency in Arabic is a strong advantage due to the local client base.
  • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment (PBX systems, printers, scanners).
  • Personality: Friendly, approachable, and polite demeanor with a customer-service oriented mindset.
  • Organizational Skills: Strong multitasking abilities and attention to detail.
  • Visa Status: Candidates must have their own valid residency visa in Dubai or be willing to relocate with company sponsorship (sponsorship options available for exceptional candidates).
