Key Responsibilities

Front Desk & Patient Relations:

  • Greet and welcome patients and visitors with warmth, professionalism, and cultural sensitivity .
  • Register new patients accurately in the electronic medical records (EMR) system, collecting all necessary personal and insurance information .
  • Verify patient insurance eligibility and obtain necessary approvals or pre-authorizations .
  • Answer telephone calls promptly and professionally, responding to inquiries or directing calls to appropriate departments .
  • Manage patient flow to minimize wait times and ensure a smooth, efficient experience .

Appointment Scheduling & Coordination:

  • Schedule patient appointments efficiently, coordinating with physicians’ availability and patient preferences .
  • Confirm upcoming appointments via phone or SMS and manage appointment reminders .
  • Handle appointment rescheduling, cancellations, and no-show follow-ups professionally .
  • Coordinate with clinical staff to ensure smooth patient transitions from reception to consultation rooms .

Administrative Support:

  • Maintain accurate and up-to-date patient records, ensuring confidentiality and compliance with healthcare regulations (HIPAA/DHA standards) .
  • Process patient check-outs, including collecting co-payments, issuing receipts, and scheduling follow-up appointments .
  • Assist with billing inquiries and direct patients to the appropriate financial counselor when needed .
  • Manage incoming and outgoing correspondence, including emails, faxes, and mail .
  • Maintain a clean, organized, and welcoming reception area .
  • Assist with general administrative tasks such as filing, photocopying, and data entry as needed .

Compliance & Confidentiality:

  • Adhere strictly to patient confidentiality policies and DHA regulations regarding health information privacy .
  • Follow all clinic policies and procedures related to patient registration, data protection, and infection control .

Qualifications & Requirements

Education & Experience:

  • High school diploma or equivalent required; Associate’s or Bachelor’s degree in Healthcare Administration, Business, or related field is preferred .
  • Minimum of 2+ years of experience in a medical receptionist, medical secretary, or front desk role within a hospital, clinic, or healthcare setting in the UAE .
  • Experience with DHA regulations and insurance processes is highly preferred .

Technical Skills:

  • Proficiency in using Electronic Medical Records (EMR) systems (e.g., Salama, Cerner, MedArc) .
  • Strong computer skills, including MS Office (Word, Excel, Outlook) .
  • Familiarity with medical terminology is a strong advantage .
